Attendee QR Codes

As an event organizer, you have the option of sending unique, fully encrypted QR Codes to your attendees through emails, vouchers in PDF form, or even through the InEvent app.

QR Codes are useful in a variety of situations. For event organizers, they assist in the access control of their event attendees, making it possible to identify each attendee and know who does not have permission to access the event. This feature is especially useful when you have a high number of guests and/or when the event is held at a big venue, such as a stadium for example.

Each QR Code is personal and not shareable, so it is not possible to discover someone else's QR Code or read its data without an authenticated system by InEvent. This control provides more security to your event, whether it is at a stadium or a corporate sales immersion.

Enabling the QR Code tool

Click on Settings > Tools within the InEvent platform. Then, locate My QR Code under the Pass section. Click on Edit and enable the tool using the toggle.

QR Code in the Confirmation email

Attendees will receive their QR Code upon event registration within the Confirmation email.

Ensure that the Confirmation email tool is enabled within Event Tools. For further information, refer to our Confirmation email and other automatic emails article.

First, you must enable the confirmation email option on Settings > Tools. For further details, access the article about Confirmation email.

Resending QR Code in other emails

The option to resend the QR Code multiple times via email is available only in the Advanced and Full plans.

Attendee QR Codes can also be sent to attendees in different emails. Using the Email creator, event administrators can insert QR Codes into other emails as desired.

Within the Email creator, the QR Code element is found within the Media tab.

Custom attendee QR Codes

The InEvent platform automatically generates QR Codes for attendees upon registration. However, event administrators can also upload custom QR Codes for their attendees if needed. To do so, enable the Custom QR Code tool within Event Tools.

With the Custom QR Code tool enabled, event administrators will have access to the qrCode column within the attendee import demo spreadsheet. This column can be populated with the desired QR Code strings unique to each attendee.

Ensure to insert a string of alphabetical and/or numerical characters, and not images of the attendee QR code itself.
The qrCode column will not be available in the demo spreadsheet if the Custom QR Code tool is disabled when the demo spreadsheet is downloaded. However, you can manually create the qrCode column into the spreadsheet. Accreditation using QR Codes

Attendee QR Codes can be embedded within customized badges and printed upon check-in. This allows for a seamless event experience for both event organizers and attendees.

Attendee QR Codes in the InEvent mobile app

Attendees can access their QR Code directly from within the InEvent mobile app. After logging ingo the mobile app, they can access their QR Code by tapping Action > My QR Code.

Digital Ticket Voucher with QR Code

When the Voucher tool is enabled within Event Tools, attendee QR Codes can also be extracted as a ticket. Event administrators can navigate to People > Attendees, select the target attendee, and click on Voucher.

QR Code as a Voucher (PDF)

The voucher will be displayed in a new browser tab, with details of the relevant attendee. This voucher can be saved in a PDF format and printed or sent to the attendee.
